Higher Ed Migration Readiness Checklist
Campus migrations fail on sequencing, not technology. This checklist walks the decisions in the order they actually arrive.
Academic calendar and timeline planning: identifying a cutover window that avoids move-in, finals, and commencement, confirming timing against the academic calendar at least two semesters out, accounting for reduced IT staffing during breaks, and building a rollback window that does not bleed into the next term.
Campus stakeholder alignment: facilities, campus IT, public safety, housing and residence life, procurement, and the registrar or data privacy officer, with the specific question each one owns.
Hardware compatibility: confirming Mercury-based panel compatibility across mixed-generation hardware, identifying campus card integration requirements, and clarifying needs building by building rather than campus-wide.
Credential and identity migration: how student, faculty, and staff credentials transfer or get reissued, visitor and guest workflows, research labs requiring elevated or logged access, and alignment with your privacy office.
Procurement and budget planning: fiscal year timing, board or trustee sign-off, RFP lead time, and separating hardware, software, and integration costs for approval clarity.
Post-migration validation: high-traffic buildings first, emergency lockdown verification, card system integration testing, and feedback from Housing and Campus Safety.
