Fragmented Data Is Quietly Undermining Student Success and Cybersecurity Hygiene

As the new academic year kicks off, universities are under pressure to improve student outcomes, modernize campus operations, and strengthen cybersecurity, often while operating with limited resources and staff.

To meet these demands, institutions are turning to AI-powered tools to provide more personalized student support, streamline campus operations, and help IT teams identify and respond to problems faster. However, fragmented systems and siloed data limit visibility, making it harder for universities to provide timely support.

Personalized guidance, the kind that combats summer melt and first-year attrition, depends on the institution being able to see and act on student data quickly. But this is only possible once data is unified.

When Georgia State University streamlined its operations on a unified system, for example, the IT team built a proof-of-concept AI-powered application that helps students navigate the complicated financial aid process by surfacing personalized information, financial resources, student records, deadlines, and next steps. Unified data allowed its team to innovate on the student-facing problems that matter most, enhancing student experience throughout the admissions process.

Why This Was Traditionally so Hard

Historically, when leadership wanted insight into the institution's data or wanted to properly leverage what's available, CIOs would have to spend significant amounts of money for data warehouses, and then duplicate the data and hire a staff to manage the whole lifecycle.

This made any form of reporting extremely cumbersome. Leadership would set parameters and then data analysts would spend a month or two producing a single report.

In my previous positions as a higher-education CIO, I would see this first-hand — pulling data from four different systems, manually reconciling spreadsheets and then building a report. By the time it lands in the president's inbox, the window to act has already passed.

By unifying enterprise data across disconnected systems and departmental silos, universities can change what's possible.

Building a holistic approach to security requires a unified view into the entire IT environment, and end-to-end observability so IT teams can see everything as it happens, enabling security analysts to better detect anomalies and patterns.

As long as disconnected tools, systems, and data persist, there will be gaps where intrusions and malware can go undetected for months or years. The Texas A&M University System's Cybersecurity Operations team sets a great example. The team defends 11 universities, eight state agencies, and the second-largest student body in the U.S., protecting tens of thousands of endpoints against billions of telemetry events every month.

Previously, security analysts' skills were hindered by the need to source data from multiple security products based on different query languages. By replacing those disparate portals on a unified platform, deployed automatically on all devices, the team consolidated everything into a single interface. Adding an automation layer to all the proper data saves TAMU about 100 hours of analyst time per month and cuts resolution of a repeat attack from weeks to a couple of hours.

Looking Ahead

A streamlined, efficient data strategy should never be an afterthought. This is the first step to building an intelligent institution and the foundation that enables innovation and lays the groundwork for AI-powered solutions.
