Cuyahoga Community College Develops Unified Student Data System

Cuyahoga Community College (Tri-C) in Cleveland, OH has launched OneRecord, a software platform that lets faculty and staff throughout the college access student data through a single interface.

OneRecord is part of the college's One Door, Many Options for Success initiative, which focuses on "redesigning college systems and services to focus on students rather than processes," according to the college's strategic plan. The ultimate goal of the initiative is to improve student retention and completion rates.

Cuyahoga Community College partnered with Hyland Software to develop the OneRecord system using the OnBase by Hyland platform, which centralizes content, processes and cases from multiple systems across the institution.

Previously, faculty and staff had to access student data through multiple applications, including Banner by Ellucian, Ellucian Degree Works, Blackboard Transact and Blackboard Learn. Now, with OneRecord, they can access the same information through a single comprehensive view. According to Terri Pope, president of the community college's Westshore campus, OneRecord enables "staff members to provide better student service from any Tri-C location across the region, and eliminate barriers to completion for more than 55,000 students."

"With OneRecord, Tri-C employees are able to devote time to student-facing relationship building instead of flipping through many different screens to access information, and students no longer have to visit multiple offices to get the answers they need," said Laurel Stiller, global portfolio manager, higher education at Hyland, in a prepared statement.

The new system went live in summer 2016, and the college provided all of its employees with training on the system in preparation for the fall semester.
